It also lets you know if you aren’t responding to a most recent version of an email chain. MailTips is a friendly tap on the shoulder when you’re about to send a message.

Conversation View: Email can be inundating…Conversation View consolidates messages by conversation. For example, say Bill, Frank and Allison are emailing back and forth about a presentation and you are CCd on the messages. You will see the conversation by subject and when you click on a drop down arrow all the messages are there – newest on top. You can even mange the conversation by right clicking and confirming to delete yourself from the conversation or remove unnecessary portions of that particular conversation.

Apple iOS4 & ActiveSync Problems

iOS4 & ActiveSync Problems:

Exchange Mail, Contacts, or Calendars may not sync after update.

We have been reading many articles all over the web about users who have recently upgraded to the latest iOS4 for their iPhone. This new OS is also standard on the iPhone4. Although Exchange My Mail has not suffered from this issue yet, we want to be proactive about it. We are closely monitoring our ActiveSync infrastructure.

It has been reported by Apple, that “immediately after updating to iOS 4, some users may notice that Exchange ActiveSync Mail, Contacts, or Calendars do not sync, or sync very slowly. In addition, some Exchange Server administrators may notice their servers running slowly”.

Microsoft has classified this as a client side issue related to the Apple iOS4 update and is not planning to release a patch or update.

Apple has released a knowledge base article and a configuration patch for impacted phones which can be found at the following URL: http://support.apple.com/kb/TS3398

If you are upgrading your iPhone or have purchased a new iPhone4 device you MUST install the configuration update above. Failure to do so will result in incomplete sync of your items and may cause performance issues. If you run an iOS4 device without the configuration patch above your device may be disabled for policy violation to prevent performance issues.

Active Directory Integration Now Available!

Exchange My Mail is happy to announce Active Directory Synchronization is now available!

Active Directory Synchronization (AD Sync) is a utility that will perform a one way synchronization from a customer’s Active Directory database to the Exchange My Mail hosted Exchange Active Directory database. This will allow customers to manage their AD users from their on premise AD, and sync the changes to our system. This allows administrators to create, modify or delete Exchange, SharePoint users easily without first having to login to our web based control panel.

AD Sync makes the end user experience even better with password synchronization which will synchronize their local domain password with their Exchange My Mail domain, providing end users with one password.

New customers migrating to Exchange My Mail will benefit greatly by being able to easily duplicate their Active Directory structure with Exchange My Mail Hosted Exchange using the AD Sync utility.


Brief Overview:

A lightweight Sync Agent is installed on a member server in the customer’s network. This agent encrypts the data and transmits all the changes over an SSL encrypted connection to a web server in our datacenter.

How to handle a really large email inbox

on_vacation.jpg Many companies communicate mostly via e-mail these days.., which can be a problem if you leave the office for a few days and fall behind. Coming back to an inbox with 300 messages can be an enormous task,  new messages can arrive faster than you can resolve the old ones.

So how do you manage your inbox? Good question….
Here are five tips for how to take control of an overflowing inbox when you get back from vacation or some other out-of-office stint:

Let everyone know you’re not monitoring e-mail. When you leave the office for more than a couple of days, be sure to leave an out-of-office message that reminds everyone about the dates you’ll be away.

Check with the boss. When you return to the office, sort your mail by name and check for stuff from your boss (and your boss’s boss). Do that stuff. Then worry about the rest.

Ask for re-sends. If you expect to be away long enough that you will have a hard time digging out from under an undifferentiated mound of e-mail, be sure to tell people in your out-of-office message to resend high priority e-mail to you the day you return to the office. This sounds counter-productive; after all, it could lead to many duplicate messages. But it works well if you follow the next step

Address your mail from the newest to the oldest. If someone sent you a request 2 weeks ago, they either got what they needed a different way by now, they’ve resent the request (so another copy will be at the top of your stack), or it really wasn’t that important to begin with. Maybe you’ll get to the old stuff eventually, but your company needs you to address issues that are a priority today, not stuff that seemed important 2 weeks ago.

After a couple of days, archive anything that’s still more than a week old. Write that stuff off. Don’t delete it, of course, but if you haven’t had time to act on old e-mail within a few days of returning and no one has bugged you about it, assume you can safely ignore it for now.

9.       Dry out your BlackBerry if it gets wet: You can put the BlackBerry in a bowl of rice, in a box with some silica packets (like the kind that come with new shoes) or submerge it in alcohol and then take it apart to let it air dry.

Considerations when Installing Outlook in a Terminal Services Environment

By using Microsoft® Windows® Terminal Services, you can use Microsoft Office Outlook® 2003 without having to upgrade every computer in your organization. Users can work in the latest Microsoft Office 2003 environment even when their computers have limited hard disk space, memory, or processing speed.

Windows Terminal Services allows you to run Microsoft Windows-based programs on a server and display them remotely on client computers. For example, you can install a single copy of Outlook 2003 on a Windows Terminal Services computer. Then, instead of running Outlook locally, multiple users can connect to the server and run Outlook from there.

However, there are some limitations to be aware of. For example, you cannot use Outlook with Cached Exchange Mode when you run Outlook on Windows Terminal Services. Also, to help provide the best supported Outlook experience for your users in a Terminal Services environment, pay special attention to managing Outlook features that might adversely affect performance.

Outlook features that are disabled with Terminal Services

The following Outlook features cannot be used when you are running Outlook in a Terminal Services environment:

  • Offline store (OST) files.Features that rely on the OST (for example, Cached Exchange Mode and Offline) are not supported with Terminal Services.
  • Forms Designer and the Microsoft Visual Basic® Scripting Edition (VBScript) editor.You can view a custom form, but you cannot design a new form or revise an existing form.
  • Changing the Time Zone from within Outlook.Changing this setting in Outlook updates a system setting.
  • Changing Zone security settings from within Outlook.Changing this setting in Outlook updates a system setting.
  • Changing the status of a Microsoft Exchange Client Extension.You cannot change the status; however, if the Exchange Client Extension is already on, it should work correctly.
  • Adding stationery that was not included with Outlook as part of the Terminal Services installation.
  • Outlook animations are disabled.Examples of Outlook animations include Send/Receive animation and the Search Folder creation icon.

SPAM: How much is it costing you in lost time and productivity?

Exchange My Mail has processed 12,310,644 email messages between July 15th 2009, and August 15th 2009. ( 31 Days )

Of those 12,310,644 messages, 4,495,043 were classified as blatant spam and deleted. Another 2,358,516 messages were flagged as spam, and sent to customers quarantine. Our customers received a total of 5,430,881 messages in their inbox, thus preventing hours upon hours of wasted time sorting though over 6.8 million spam messages. Service Provider Solutions Category

MS-CATALOG Exchange My Mail has finally been added to the Microsoft Service Provider Solutions Category on the Microsoft Website.
We have a listing in the Hosted Exchange section.

In order to be listed in the directory, companies must meet certain requirements, which to be honest seem to vary depending on who you talk to.There are minimum requirements that must be met; Microsoft Gold Partner, member of SPLA licensing program, and report a minimum amount of revenue to Microsoft. In addition, you must meet minimum requirements of adding several hundred new mailboxes each month. This is to show that the company is continually adding new customers, and will be a viable partner with Microsoft.

We are extremely excited about finally being listed, as we have been working on this for quite some time now. Our understanding is that this new service provider portal will be replacing the legacy system which had been in place for a few years now. Our dedication to Microsoft Exchange, and it’s related services cannot be compared. As of this writing, Hosted Exchange is the company’s main focus.
